I am doing Unit 31 through the Diploma route and I need some help here. I Posted a customer invoice without changing the program date and when I got to recording a payment, the system alerts me that there is a discrepancy in the dates which will cause a problem if I want to do the aged detor's analysis later on. How do I do back and change the date to a program date(the date of the transaction)? Your help is very much apreciated.

I haven't used instant accounts, but in Sage Line50 there is an option under "File" "Maintenance" which allows you to make some changes. At work I don't allow anyone to use this option as it does not give a very good audit trail and instead the bought ledger or sales ledger clerk puts on a "dummy" credit with the same date to remove the wrong entry and then re-enter the invoice correctly.0 -

I did something similar at work quite a while ago but with a whole batch (ouch). Anyway I dont use Sage but I did something very similar to what the poster before mentioned. Also had to cash-match them off after as well.0 -

Checked the File/Maintenance menu and , yes, it is one option to correct a wrong entry. Doesn't the second option leave any trails(records)of being entered into, say, using a journal entry?

The dummy invoice/credit will create entries in the nominal accounts too (unless you use the nominal code 9999) but at least if you were in business and audited there would be a clear record of what you had done and why. Using the file maintenance option "deletes" the wrong transaction and enters it again correctly. This is fine if you do not need to explain your actions to an auditor, but if you do and you can't remember why you did something, it is not always easy to work it out.0 -

Thanks once again, TLG for your input. I understand what you mean. It is a great way of learning, your insight is very helpful. I'm sure I will have few more questions for you as I work through the SAGE material.

LOVL - I'm happy to answer. My experience as the system manager is totally in Sage Line50 but I believe they are close enough for the answer on one to work in the other.0 -

Hi TLG
I've got another Q for you:
I was setting up product categories and I went through the steps as far as entering Openning Balances(O/B) but I was not able to do so. My study text/work book shows me a small screen(message box) which lets me enter openning balances, but there is none. It is supposed to appear when you click Product->Record.
Would be nice to hear from you.

I haven't actually set up products, but when setting up most things in sage there is a wizard which would then give you the opening balances option - is there a wizard for products? Alternatively, check all the tabs (if it is anything like debtor or creditors which has multiple tab options) and have a good search around in each one - sage is quite good at having a little check box that needs an action.

I went through the Help menu and realised that the In-Stock/Opening Balance option only works on Instant Accounts Plus and the version I am working on is not.
