Report/Memo style questions

Does anyone have a useful set structure that they follow when answering the longer written questions?

I seem to start out well, but then just end up going off on a tangent - I think I 'over-analyse' the question a bit really. Then I look back at the answers and the points that are made are really concise and simple.

For example, when asked to calculate ratios for a company over 2 years and then comment on the results.

Anyone got any handy tips on this?

    I know it sounds a bit obvious, but I always start my answer with an introduction that includes the basis of the question. It helps me to focus on exactly what I am trying to say.

    Eg Thank you for the information you provided regarding the company you are considering as an investment. I note that you reguire an analysis against your own company's performance based on ROCE, Net profit margin....... and so on.

    Then you can list each ratio and give an analysis of each.

    As I said, it sounds a bit obvious, but it does help me to keep on track of the question.
