Hi Guys,

My client runs a domestic cleaning business and wants me to do the bookeeping for her. I have just finished my technical exams this june and have never ventured out commercially b4.All I need is some guide lines and some excel templates as rough guides.

Currently she has loads of bank statements, invoices, and receipts laying on the floor in a room assigned to be the office. There is no filling system in existence and currently no bookeeping records. only incomplete records exist.

Guys, I need tips and excel templates to get the ball rolling. What filing system should I setup.
Can I use Sage or stick with excel.

    Hi,

I also have just finished tech. and am going into self employment.

I personnally would use sage because it is really easy to use, however it is quite expensive and if you have never used it before it is a good idea to get the sage cover as well. I think the basic package which is sage instant accounts costs about £200 with cover. There are other packages such as quickbooks and iris but not sure about them coz i only ever used sage.

2 Exel spredsheets Income & Expenditure
Start with the Facts---Bank Account (Statements,Chq book & Paying in Book)

Income Sheet -Columns 1Date 2Detail (What it is & Invoice No if applicable) 3 Total 4 Takings Banked 5 Interest and so on to suit

Expenditure Sheet-Columns 1 Date 2 Detail(Supplier,Invoice No Chq No) 3 Total 4Heat & Light 5 Purchases 6 Cash Drawn 7 motor expenses and so on to suit

Then any Expenditure receipts left are likely to be cash payments. And any difference beween cash banked and sales invoices will be part of the cash account (takings not banked )
The cash account will consist of takings not banked, cash drawn from bank less cash expenditure with a closing balance, any difference depending what side it is on will be either drawings, capital introduced or sales.

Put all invoices in folder numbered as per spreadsheets

Have a suspense column for unknown but dont hand books to Accountant until You have answers from client. If you dont get the answers put unknown receipts to sales & payments to drawings and make a note for the accountant.

Dont forget date column as this helps accountaant with dep'n prepayments etc.

Finish with a bank & cash reconciliation.
