Has anyone else had a problem with the Aged Creditors and Trial Balance showing different figures in Sage Line 50

I tick the Exc later payments box but still get a difference between the Creditors and TB.

I've had this problem now with a couple of clients and with one of them I was able to work out exactly which transaction had been missed from the Aged Creditors. The Aged Creditors didn't seem to like the last day of the month.

With the other client I have a problem with, I have been all the way through the control account and the purchase Ledger transactions to see if there is any way a transaction could have been posted incorrectly.

With some clients it's working without a problem.

I've put a helpdesk query into Sage to see if it is a bug with the program and was just wondering whether anyone else was having the same problem?

    I've seen this before. It happens when you allocate credit notes or payments on account to invoices, where the invoice is dated within the date range of your aged creditors report, but the credit or PA is after the end date. I think it also happens if the PA is within the date range, but the invoice is after.
    I haven't got an example I can look at at the moment, but I think you will find that the allocated invoice does not appear in the creditors report. The TB figure is the correct one.

    Thanks, I think you could be right. This particular client had been going for a year before they decided they needed a bookkeeper and meanwhile they have lost a lot of invoices, so there are a lot of payments on Account, while I reconciled the Suppliers.

    Looks like unless Sage can come up with a quick fix, I'm going to have to go through and reconcile until I find the missing transactions!!!

    Hi Sue
    It sounds as if you have a lot on your plate there. Aren't backlogs the greatest thing!

    I was wondering how many of your "allocating" transactions will have breeched the year end date. It may be helpful to run a search in Financials, on PP transactions dated after the year end and to check through those first. You could also try doing the aged creditor / TB reconciliation on the month end dates either side of the year end, or for every month end over the last 12 months. This might help to narrow down your search.

    I've had a first response from Sage and they've come up with the same answer that you did two days ago!!

    They have said there is a report you can run, but they havent't given me the details yet! I'm hoping I won't have to do a manual reconcilition, so I'll see what they come back with, otherwise I'm going to have to do as you've suggested! The problem is their year end was in March and because they are now VAT registered I have completed the books up to November!

    Hi Sue,

    I have encountered this problem several times. The report Sage are talking about isn't in the actual programme itself, it has to be emailed over to you.

    When I had this, I rung Sage and they emailed a sort of like "backup" which you restore onto your client's programme. The restore simply puts the required reports on to your version and allows you to quickly identify where the allocation errors have occurred. It doesn't affect anything to do with the accounting information - it simply puts the reports on the relevant version.

    Having come across these allocation errors the number of times I have, I am unsure as to why Sage don't actually integrate these sort of reports as standard - it would save quite a few headaches.

    Thanks.

    I'm not sure why Sage didn't send me the reports in the first place, all they sent was a link to their website so I could check the various reasons why the problem occurs and it took them two days to do this!

    I've gone back to the client's Accountant with what I have found out and I have also attached a current Trial Balance and Aged Creditors to prove they now agree, because this is a client that needs their Tax Return completed by the end of January, so I'm not sure that they can wait for Sage!!

    I know I could try and reconcile manually, but the client couldnt afford to pay me for my time and it's not really their fault other than the fact they had lost the invoices, which is part of the problem!

    Along with the fact I'm being selfish, because my plan was to finish work on Monday to give me a chance to catch up with my own books and Tax Return!!! Unfortunately all my clients have got other ideas!!

    Hi Sue

    Out of interest, has the accountant accepted the reason for the difference, along with that fact that the aged creditors report and control account currently agree?
    Or does he want you to show where the difference is?

    Just wondering, as some of the accountants I work with would accept this, others wouldn't.

    I had a read receipt from the Accountant this morning, but they haven't replied yet. It's not an Accountant I've worked with before, so I'm not sure how they'll respond, I'll let you know when they do!!

    I know Accountants are very busy at the moment, but I seem to have a problem with several of them responding to confirm they've received books or answer other queries and as we are here to help them surely it is to their benefit to respond, I seem to spend as much time chasing Accountants as I do Clients!!
