Ok

Thought I would give this a try as you have not had a response yet!

You write the imprest amount you are using at the top left of the petty cash form along with the date.

Then you enter all of your receipt amounts in columns such as Travelling/Stationery/Postage etc, deducting vat where applicable, and given each one a unique petty cash voucher No.

When you come to balancing up (usually end of the month), you add up all of your vouchers, & check that they cross cast, across all of the columns, writing the totals under each column and ruling off with a single line. You then take the amount of the vouchers away from the imprest amount and enter as a balance c/f underneath the receipts total then add the amount of the total vouchers together with the balance c/f (to show a balance that is the same as the imprest amount) and double underline, then bring down the amount of imprest on the left hand side so that the amounts are balanced off on the same line. So eg you have an imprest of £250 you spend £90 in vouchers so the balance c/f is £160.

Then you write the balance c/f total underneath the imprest total on the left hand side (this being £160 in this example), and underneath it write the amount of money you have now paid back to petty cash (in this case £90) to restore the imprest back up, (this amount being the same as the petty cash receipts added up to).

I must admit this was a lot harder to explain than it is to do, and I hope that it hasn't confused any further!

Tracy
