We are looking for a Finance and Office Administrator to join our friendly team in the West End (Oxford Circus).
Purpose of role
The primary role of the Finance and Office Administrator is to provide administrative support to the finance and operational teams within the group of companies. The Finance and Office Administrator will ensure that all administrative and financial tasks and processes are completed in a timely and efficient manner. The Finance and Office Administrator will ensure the operational and finance teams are kept up to date with impending administrative and reporting deadlines.
Key responsibilities
Supporting the administrative aspects within the finance team
• Accurately recording financial transactions within the given weekly, monthly and annual deadlines and in line with current finance policies and procedures
• Upload bank transactions to the relevant financial reporting system
• Keeping the Sales and Purchase ledgers updated with current information.
• Compiling VAT returns
• Reconciling bank and credit card statements to official records and financial accounting systems.
• Compiling period end journals
• Drafting sales invoices
• Actualising cashflows
• Collating Payment runs
• Processing expense claims
• Updating and maintaining supplier records
• Preparing supplier information for account renewals.
Supporting the Financial Analyst with the completion of Company reporting obligations
• Support the production of weekly, monthly and quarterly reporting
• Extracting information from various databases
• Producing reconciliation reports eg Bank, Payroll, PAYE
• Assist with the audit / preparation of financial statements
Provide administrative support to the operational teams
• Preparing meeting rooms for large meetings
• Distributing, Printing and Constructing board packs to a high standard
• Co-ordinate team diaries to ensure all Board, Management and regular meetings are scheduled.
• Circulate Board minutes and Meeting agendas
• Complete due diligence and anti-money laundering checks
• Manage all incoming and outgoing correspondence eg Post, Phone calls to reception
• Maintain log of sending and receipt of legal papers
• Maintaining the filing system
• Refurbishing office supplies
