Position of Administrative Assistant, (London (U.K.), immediate start.

ESSENTIAL FUNCTION RESPONSIBILITIES:

The Assistant must have adequate knowledge of the accounting software – Exchequer, BORIS and expertise in Microsoft Office, especially Excel. The administrative assistant should have an imposing personality with excellent in communication skills. Further, the administrative assistant must have very strong organisational and multitasking abilities. Interacting with higher management officials and handling various facets of accounting is a must for accounts receivables/payables

1. Responsible for maintaining accounts payable ledger/folder and rectifying any discrepancies.

2. Posting invoices and payments on the system.

3. Following up with suppliers on issues related with accounts payable.

4. Responsible for weekly bank deposits.

5. Responsible for bank reconciliation of various multi-currency accounts.

6. Assist with the operational aspect of the BORIS System as it relates to the Finance Department.

7. Assist with the ship annual fees invoicing.

8. Assist with Annual Audit Preparation.

9. Responsible for Archiving Finance Files and sending to storage after Annual Audit is completed.

10. Receptionist relief cover (illness, holiday and lunch).

11. Any other task as may be assigned by the Head of Department.


Qualifications and Required Competencies:


- Second year AAT.

- Strong computer skills (Competence in use of Microsoft Office and ability to learn and function effectively using the company’s software programmes and applications).

- Have strong math and communications skills, as their jobs focus on numbers and relaying financial data to supervisors, vendors and clients.

- They must be highly organised, professional, analytical and adept problem-solvers who can work on own initiative and in a team environment.

- Communicate effectively in oral and written form with clients and staff courteously and professionally. Must have a positive attitude, sound work ethic and an ability to follow instructions.
